AI-Powered Medical Scribing That Elevates Patient Outcomes

Find quick answers to frequently asked questions about SharpScribe’s virtual scribing services, ensuring you get the information you need effortlessly.

A Virtual Medical Assistant (VMA) is a graduate of a medical school, based in North America, who works remotely as part of your care team under your direction. A VMA covers four kinds of work: clinical documentation (pre-charting before the visit, real-time charting and note preparation), clinical admin (in-basket triage, drafting and pending refill requests, preparing prior authorization packets, drafting referral letters, routing lab and imaging results), front office (pre-visit outreach, scheduling and reminders, patient calls, intake, insurance verification) and revenue cycle (charge entry, drafted E/M and CPT/ICD coding, claim follow-up). Everything is prepared and pended for your review — you review and sign.

We work with all EHRs.

Medical Virtual Medical Assistants can “pend” and attach diagnosis codes to each encounter. The physician will always dictate which CPT code(s) and diagnoses to attach. Each Virtual Medical Assistant is trained on the proper protocol for each individual physician. Every note is still reviewed by the physician prior to submission or finalizing for billing.

Yes. Your VMA prepares and pends orders and prescriptions directly in your EHR, complete and ready for your signature — so the work is done by the time it reaches you. You review and sign. It is the same workflow you would run with an assistant sitting in your office.

SharpScribe requires a medical school degree, North America residency, HIPAA certification before day one, and training on your specialty and your EHR before a VMA touches your chart. That medical background is why a VMA can triage an in-basket or assemble a prior authorization packet accurately, rather than simply transcribing what they are told.

Your VMA prepares the work and routes it to you — the refill request, the prior authorization packet, the referral letter, the coding draft — and you provide the signature. That division keeps every clinical decision with the provider, exactly as it works with an in-house medical assistant.

SharpScribe assigns two Virtual Medical Assistants per provider—a primary Virtual Medical Assistant, plus a backup. This ensures the healthcare provider is always covered.

Our Number 1 priority is to ensure all of our Virtual Medical Assistants are well versed on HIPAA Laws and the standards set forth by the HITECH Act of 2009.
